Class Enrollment & Attendance Policy

Permanent Class Enrollment

Definition

The permanent class enrollment process allows a student or parent to reserve their spot in a specific class time(s) for up to the length of a belt assessment or test cycle. This process removes the requirement for a student or parent to enroll for class times before each class attendance.

In Studio or Online

Permanent class enrollment is available for both in person and online classes however a student may only enroll in one type of class. Enrolling in both in studio and online classes is not permitted.

How to Enroll

Students and/or parents will submit their requested times by completing the form found at: thekoma.com/information/class-enrollment.

Length

Permanent class enrollments will only remain active until the next belt assessment or black belt test.

Maximum Classes per Week

Students will be able to reserve their permanent enrollment for a maximum of two classes per week for Fundamentals and three classes for Black Belt Club members. Additional classes may be reserved through the manual class registration option found via our Zen Planner portal at thekoma.com/resources/zen-planner-login.

Schedule Change

The ability to change a permanent enrollment will be limited. Students enrolled in the Fundamentals membership may revise their permanent class enrollment schedule one time per belt cycle or quarter while students with Black Belt Club memberships will be allowed to revise their permanent class enrollment two times per belt cycle or quarter. Any additional changes will require a $15 change fee.

Cancellations

To maintain optimal class sizes, all class cancellations should be submitted no later than 24 hours prior to the class start time. Any class cancellation requests submitted less than 24 hours prior to class start time will count towards the student’s monthly class allowance. If a student cancels a class more than twice during a belt assessment or test cycle, the student’s permanent class enrollment will automatically be cancelled and the student will need to complete the class registration form again or manually enroll before each desired class.

No Show's

Failure to communicate any missed classes will result in the absences being counted towards the student’s monthly class allowance. Two no show’s during a belt assessment cycle will result in the students automatic enrollment being cancelled. Students who have their permanent class enrollment cancelled will need to complete the manual class registration form for their class attendances for the remainder of the belt assessment cycle.

Specialty Classes

Students enrolled in Black Belt Club will be able to enroll in two additional specialty classes per week.

Manual Class Registration

Definition

A manual class registration is when a student or parent registers for a class time from a device or by calling the front desk.

How to Enroll

Students or parents can use the Zen Planner mobile app or desktop site to register for a class time by visiting thekoma.com/resources/zen-planner-login. A profile with a username and password must be created by the student or parent before logging into the site.

Cancellations

All class cancellations should be submitted no later than 24 hours prior to the class start time. Any class cancellation requests submitted less than 24 hours prior to class time will count towards the student’s class allowance.

No Show's

All no show’s will count towards the student’s class allowance.

Drop In's

Definition

A drop in is when a student attempts to attend a class time that was not registered for before arrival.

How to Attend

If the desired class time has available registration spots open, the student will be allowed to enter the class upon arrival. If the class time is full and does not have available registration spots open, the student will need to wait five minutes before entering the class to allow for registered students to arrive. If, after the waiting period, any registered student does not show, the drop in student will be allowed to join the class. If all registered students are in attendance, drop in students will need to register for a class time with available spots open. Class occupancy will not be extended at any time for drop in students.
