Assistant Studio Manager
Job Summary
We are seeking a dependable, detail-oriented, and proactive Assistant Studio Manager to support the Studio Manager in overseeing the daily operations of our martial arts studio. This role is ideal for someone who enjoys working with both people and processes, has strong communication and organizational skills, and thrives in a fast-paced, service-driven environment. The Assistant Studio Manager will help ensure smooth studio operations, maintain data accuracy, support student and parent communication, and assist with administrative, event, and facility tasks.
Key Responsibilities
- Lead and Prospect Support
- Assist in managing new leads and inquiries through calls, texts, and emails.
- Support follow-up communication to help convert prospects into enrolled students.
- Maintain lead and prospect tracking within the studio’s CRM system.
- Customer Experience
- Greet and assist parents and students in a warm, professional manner.
- Answer questions about programs, events, and billing.
- Help ensure all visitors and members have a positive and consistent experience.
- Administrative Support
- Assist with data entry, student management software updates, and attendance tracking.
- Help maintain accurate billing records and support payment collection when needed.
- Prepare reports and assist in maintaining studio inventory, including uniforms and supplies.
- Event and Program Support
- Support the planning and setup of belt testings, graduations, and studio events.
- Help with logistics, registration, and communication before and after events.
- Attend and assist during special events, sometimes requiring early morning or evening hours.
- Facility and Equipment Management
- Help maintain studio cleanliness, organization, and safety standards.
- Perform daily opening and closing duties as assigned by the Studio Manager.
- Report maintenance needs or safety issues promptly.
- Instructor Support
- Assist with schedule coordination, time-off requests, and event staffing.
- Help maintain instructor performance and incentive tracking systems.
- Participate in weekly meetings and contribute to team communication.
- Communication and Follow-Up
- Support the Studio Manager in keeping parents informed about upcoming events and student progress.
- Follow up with families who miss classes or need scheduling assistance.
- Maintain professionalism in all written and verbal communication.
- Quality Control
- Help ensure all operational processes are followed precisely.
- Double-check data accuracy and system updates for consistency and completeness.
Key Objectives
- Support the Studio Manager in maintaining smooth daily operations and exceptional service quality.
- Assist in driving student growth and retention through excellent communication and follow-up.
- Help ensure the studio remains organized, clean, and efficient in every area.
Experience Required
- 1–2 years of customer service or administrative experience (experience in fitness, education, or martial arts preferred).
- Strong verbal and written communication skills.
- Comfortable using technology and managing data in software systems.
Salary Range
$18 to $22 per hour, depending on experience.

Schedule
- Typical operating hours
- 3:00 pm - 8:00 pm, Tuesday through Thursday
- 3:00 pm - 7:00 pm on Fridays
- 8:30 am - 12:00 pm on Saturdays.
- Some events may require work outside typical hours, including early mornings or late evenings.
