Studio Manager
Job Summary
We are seeking a social, detail-oriented, and proactive Studio Manager with strong follow-through to lead the daily operations of our martial arts studio in Olathe. This role requires initiative, excellent communication skills, and the ability to manage people and processes independently.
The Studio Manager is responsible for driving student growth, delivering an exceptional customer experience, and overseeing all administrative and facility operations. No martial arts experience is required—only a passion for excellence, teamwork, and helping others grow. The Studio Manager is also responsible for opening and closing the studio each day, ensuring smooth and professional operations from start to finish.

- Drive active student growth by managing leads, prospects, and enhancing student engagement.
 - Deliver an exceptional customer experience by managing student and parent relationships and ensuring high-quality service.
 - Oversee all administrative and facility operation needs including billing, event management, data accuracy, repairs, and maintenance.
 
Key Responsibilities
Facility Management
- Oversee the maintenance, cleanliness, and safety of the studio to ensure a welcoming environment for students, staff, and visitors.
 
Lead Management
- Proactively manage leads and inquiries to increase enrollment and ensure a consistent pipeline of new students.

 - Digital responding - 9:00 am to 8:00 pm
 
Prospect Management
- Manage communication and follow-ups with prospects, guiding them through the enrollment process to convert inquiries into active students.
 
New Student Management
- Welcome new students, conduct onboarding processes, and ensure a smooth transition into programs.
 
Student Management
- Oversee student progress, attendance, and overall experience, ensuring their needs are met and supporting retention efforts.
 
Program Management
- Assist with the organization and execution of studio programs, ensuring they run smoothly and align with the studio’s goals.
 
Billing
- Manage all billing processes, including student tuition, payments, and overdue accounts, ensuring accuracy and timely processing.
 
Event Management
- Plan, coordinate, and execute studio events, such as testing, graduation ceremonies, and community engagement events, with flexibility to work early mornings or late evenings when required.
 
Parent Management
- Serve as the primary point of contact for parents, addressing their concerns, answering questions, and providing regular updates on their child’s progress.
 
Process Quality Control
- Monitor and improve internal processes to ensure consistent quality and operational efficiency.
 
Uniforms and Student Supplies
- Oversee the distribution and management of uniforms, belts, and other necessary supplies for students.
 
Data Management
- Ensure accurate and up-to-date records in student management software, including student records, billing information, attendance tracking, and event participation, ensuring all systems are updated regularly.
 
Technology
- Manage basic IT tasks, including troubleshooting software or hardware issues and coordinating with external IT support when necessary.
 
Instructor Management
- Oversee and support all full-time and part-time instructors to ensure alignment with KOMA’s standards and values
 - Coordinate instructor schedules and manage shift coverage to maintain operational excellence
 - Review and respond to day-off requests in a timely and fair manner
 - Lead weekly Level 10 (L10) meetings to maintain team alignment, track progress, and address key issues
 - Organize and staff both internal and community events with appropriate instructor coverage
 - Maintain and update point tracking systems for full-time staff performance and incentives
 - Conduct 13-week performance reviews to provide feedback, set goals, and support instructor growth
 
Experience Required
- A minimum of 3 years of relevant experience in a management or operational role, preferably in a fitness, martial arts, or educational environment.

Schedule
- Typical operating hours are 12:00 pm - 8:00 pm, Monday through Thursday, 12:00 pm - 7:00 pm on Fridays, and 8:30 am - 11:00 am on Saturdays.
 - The Studio Manager is responsible for opening and closing the studio each day. Events may require work outside of typical hours, including early mornings or late evenings.
